Import External Member File

Importing Members allow the member details to be imported from external sources. The following rules applying when importing the any file containing member data:

The file must be in standard Comma separated format (CSV) with one record per line.
The following fields MUST exist as a minimum for each member:
1. Card #
2. Surname
3. First Name
Only the fields listed when adding a field can be imported
if the first line contains the name of each column then the First line contains field names option must be selected
any fields containing commas ',' must be enclosed in double quotes ie. "test1, test2"
the file MUST not contain any blank lines either at the start or end of the file.
The Card # field is what determines the uniqueness of each member. Any other details that are imported will over-write any existing details.
The fields being imported MUST exist in the order that they are specified in the list of fields being imported. Any lines that do not have the same number of fields specified will be ignored.
Any fields that contain dates must be the Short Date Format specified in Windows Regional Settings. This is usually in the form of "d/mm/yyyy".
The valid values for the Status column are (T, Y, 1, TRUE, YES) for true and (F, N, 0, FALSE, NO) for false.
By default all new members will be allocated to the Standard Member Club and first Member Level, these can be manually changed for individual members after importing

 

Member Loyalty - Import Members

 

To add a field to be imported select the field for the column list and press <Add Field>, this will add the field to the list in the order they will be imported from the file. Only one of each field can be imported with the exception of the filler field, any field previously selected will appear in yellow.
If a column exists in the file being imported that is not required, then select the filler field. This will ignore that column, any number of filler fields can be included.
To change the order of the selected fields, <right-click> on the field and select Move Up or Move Down to move the field, select Remove Field to delete the item from the list.

 

To import the members select Import Existing Members and select the file to be imported. If the number of fields specified doesn't match that of the file being imported then an error message will be displayed.

 

If any changes have been made to the fields being imported, then the current user will be prompted to save the new field order upon selecting Close.

The following fields have special conditions:

Site # must match an existing Showcase location
Member # is read-only in software and cannot be changed
Card # (Replacement) is used to replace an existing members card #, This must be the number of the card being replaced
GUID is a unique code used in internally to uniquely identify a member regardless of where the member was originally created.
Status - if not specified then member will automatically be made available
